Job Description

General Purpose


The Customer Service Representative for the city of Maricopa will be the first person that visitors will see when entering city hall. This important person will greet visitors in a professional and friendly manner as they arrive into city hall, they will answer any questions that guests may have, and will notify staff of visitor's arrival.

  • Answer all incoming calls courteously and professionally to find out the nature of the call and route them to their desired destination or answer any questions via phone or through email.
  • Assist all city staff with general office projects or tasks as assigned.
  • Responsible for the company mail flow; arrange pick up, date stamp, and distribution of all incoming mail including that received through other couriers (e.g., UPS, Fed Ex). Assure all mail is distributed and that all outgoing mail is taken to the post office by the end of the day.
  • Receive payments for business licenses, permits and recreation classes.
  • Advise community members on the status of parks, recreation and library classes.
  • Receive applications and payments for business licenses and parks, recreation and library classes.
  • Maintain the reception area and meeting areas in an orderly fashion.
  • Organize, create files for and file a number of different documents for city staff.
  • Will perform significant computer work: including creating documents for City of Maricopa use.
  • Copy machine, fax machine and general office equipment proficiency is essential.
  • Responsible for preparing, posting and distributing notices and agendas for Board, Committee and Commission meetings.
  • Responsible for processing and issuing business and solicitor licenses for the city.
  • Must be able to pass exam to serve as a Passport Acceptance Agent for the U.S. Department of State.
  • Perform other duties as assigned.

Minimum Qualifications


Applicant must be personable, organized and professional. High school diploma or GED required. An associates degree or higher preferred, but not required. 1 year previous experience as a receptionist or work in a customer service oriented position is also preferred. Bilingual abilities in Spanish a plus, but not required. Must be a U.S. Citizen and must have a valid Arizona Drivers License. Preference will be given to internal applicants.

  • Sensitive to the needs of every individual to be treated with respect and fairness.
  • Multi-task various duties at a time.
  • Pay close attention to detail.
  • Possess strong English writing skills.

Any equivalent combination of education, training, and experience, which provides the requisite knowledge, skills, and abilities for this job, may be substituted at the discretion of city management.

Possession of a valid Arizona driver's license.

 

Performance Aptitudes


Physical Ability: Tasks require the ability to exert light physical effort including, but not limited to, lifting, carrying, pushing and/or pulling, etc. of objects and materials of light weight (generally 25 pounds and less). Tasks may involve extended periods of time in seated position and at a keyboard or workstation.

Project Management: Tasks require the ability to schedule, coordinate, and manage various projects of varying degrees of difficulty, size and complexity.

Equipment, Machinery, Tools, and Materials: Tasks require the ability to operate, maneuver, and/or control the actions of equipment, machinery, tools, and/or materials, commensurate with duties of the position.

Social and Interpersonal Communication Skills: Position requires professional social and interpersonal communication skills, including the ability to function in a major organizational unit requiring significant internal and external interaction
